After-Sales Service Management
The moment you sell, the service begins. Bring booking, repair, warranty and parts into one process and turn after-sales from a cost centre back into a profit centre — and, along the way, into your strongest retention engine.
Store booking / vehicle warranty
Dealer networks and work orders
Service centres + RMA
B2B service contracts
The Problem
A customer who needs a repair has to call or add you on LINE — the person answering is busy and the LINE messages pile up. Customers forget, stores can't schedule, and both sides lose.
One copy in CRM, one in ERP, the store's own spreadsheet, and handwritten tickets on the technician's desk. The same bike comes back and you still have to ask "what happened last time?" from scratch.
Is it covered? Who pays? You have to call head office and wait three days for an answer. Meanwhile the customer waits, the store waits, and the technician has nothing to do but set it aside.
This bike shipped three years ago — which version of the rear derailleur does it take? The production BOM was never the same as the service parts list, so store technicians work from experience alone.
The Architecture
From customer booking and work order flow to parts, warranty and back-office configuration — one system, four layers, everyone reading the same data.
Pick a store → choose a service → see live slots → confirm. No phone calls, no scheduling scramble.
Serial number lookup → warranty and BOM pulled automatically → photo submission. The customer is done in 90 seconds.
Live KPIs: work orders, bookings, parts shortages, activity stream.
A structured work order process from diagnosis to close.
A service-specific parts master — component group, EAN, variants and substitutes — linked to the production BOM.
Serial numbers, policies, claims and instant eligibility checks. Warranty stops being a black box.
Stores, roles, service items, scheduling, warranty policies, reason codes and AI providers — configure it and it's live.
Module-level switches — toggle in one click.
Why May4S
Because most of them are built as a repair request form. We treat after-sales as the second half of the customer lifecycle — here are four capabilities others don't deliver.
A four-stage work order process — Overview → Action → Follow-Up → Closed — with a structured decision at every stage (factory claim / goodwill / replacement). Technicians stop working from memory and management finally gets real data.
We link the production BOM to the service BOM — service parts aren't production parts, and substitutes, revisions and discontinued items all have to be handled. Our Service BOM layer takes a serial number or model and returns what that unit can actually use today.
Warranty checked and verified on the spot — enter the serial number and the system answers in seconds: is it covered, until when, which parts are included and which aren't? The store explains it to the customer there and then, instead of waiting on head office.
AI built in, not bolted on — an LLM wired directly into Service Tickets: classifying issues automatically, recommending reason codes, drafting replies for technicians, and summarising photos and notes into an internal assessment record. Technicians gain an AI assistant; customers get answers twice as fast.
